TITLE: Executive Administrative Assistant

LOCATION: Atlanta, GAGRADE: 9

Position Summary and Responsibilities:

  • Calendar management and scheduling domestic and/or international travel

  • Calendar management also includes meeting scheduling

  • Communication with meeting attendees and preparation/distribution of meeting materials/documentation

  • Coordination of new employee on-boarding and employee exiting processes

  • Continuous update of organization charts & phone lists

  • Administration of purchasing credit card per policy

  • Work with corporate facilities and other groups on behalf of team

  • Maintain an orderly and efficient operation through the performance of office duties

  • Provide daily assistance to reporting manager

  • Ensure manager is in connection with internal and external parties in a timely, effective and efficient manner

  • Prepare records such as agendas, notices, minutes, and resolutions for meetings, and distributes materials in advance

  • Assist with sorting, prioritization, and disposition of incoming calls and correspondence, responding independently when appropriate

  • Display understanding of the business as a whole, as well as the functional organization's priorities to ensure projects and tasks are proactively being managedMay lead/administer projects or programs

Basic Qualifications

  • High School Diploma or equivalent

  • Experience/proficiency with MS Office/ Above average skills with PPT and XL

  • May interact with Marketing department

  • Could on occasion interact with Invest relations for market information/presentations

  • Strong communication skill (written and verbal)

  • Demonstrated experience (5-8 years) supporting Executive level

  • Desire to fully understand the Retail/HOT business (funnel management, File Value expansion etc.)

  • Ability to address and deal with customer interaction (positive and negative)

  • Familiarity using database and reporting tools, e.g. Microsoft Access, Crystal Reports

  • Demonstrated ability to learn new systems and processes specific to the business operations (travel, expense, Accounts payable, P&L, and purchase orders)

  • Strong organizational & prioritization skills

  • Ability to work in a team environment and perform duties with accuracy, quality, and integrity

  • Ability to discern confidentiality of information and handle appropriately

  • Flexibility, tolerance for ambiguity, and an ability to be responsive to and/or perform under pressure and within defined deadlines with minimal supervision

  • Detail-oriented, creative and proactive
